The Adobe Portable Document Format (PDF) has revolutionized the printing industry and become the universal file format for preserving source document fonts, images, graphics and layout, regardless what application or operating system was used to create the file. PDFs are widely available, compatible, and easy to distribute. PDFs are intended to make sure that jobs look and print the same no matter who opens the file. However, there are some pitfalls to avoid when making the best PDF possible for use in printing.
The PDF/X standard was created by the Committee for Graphic Arts Technologies Standards (CGATS) to eliminate many of the variables that lead to common printing problems such as missing fonts, incorrect color space, missing images and overprint/trapping issues. Many applications offer a default setting for exporting PDF files to variations of the PDF/X standard. We recommend following the instructions located in our Application Help Centers to create PDF/X-1a compliant files.
One of the myths associated with PDFs is that they are all the same. Nearly all word processing and design applications have the capability to generate PDF files. Like the applications themselves, each of these files can have inherent flaws and limitations.
How you generate a PDF is as important as what program you generate it with. Because PDFs are designed for both print and web use, they can be generated with many variations in settings and quality. Requirements for PDF publishing are very specific and simply exporting to a pdf from various programs is often not enough to produce a file that will print correctly. At DigitalXpress we recommend following the instructions located in our Application Help Centers to create PDF/X-1a compliant files.

Common Errors with PDFs:
Your application may have the capability to generate a PDF, but it may not be capable of generating a PDF that meets 4-color-printing-specific requirements. Consult your owner's manual to determine if this is the case.
Many manuals contain chapters on such topics as publishing PDF files or preparing files for commercial printing. Read those instructions carefully. We will accept any PDF file that meets our requirements and passes our preflight process, but we can only provide technical support for the applications listed on our website.
We prefer that you save your Illustrator CS file as a PDF. Go to File > Save As and select Adobe PDF.

Set Compatibility to 1.4. Be sure that “Preserve Illustrator Editing Capabilities” and “Embed Page Thumbnails” are enabled.

Set all images to “Not Downsample”, set image compression to “None”, and do not compress text and line art.


Do not select any marks, be sure Offset is set to “0” (zero), and that NO bleed is included (bleed is already accounted for by using our templates).

Some options are grayed-out. Please be sure to subset fonts (if you are not converting to outlines).

Please DO NOT apply security to your PDF file. We will be unable to open it unless you supply us with the password.

Compression: After you have successfully saved your file, we prefer that you compress your file using Stuffit or ZIP (Aladdin DropStuff or Stuffit Deluxe (Mac) or WinZip (PC). This will not only optimize the file size for faster upload through FTP, but will ensure that your file is protected during transit. NOTE: When creating your SIT or ZIP file, please include the PO# and Project name in the filename.
File Transfer:After you have successfully compressed your file, and placed your order, you will have the option to upload your file through our Web site. Follow the instructions accordingly.
